Position Summaries:

The surgical assistant assists in preparing for clinical procedures and in the delivery of required medical services. The patient care coordinator is responsible for a combination of business and clinical activities, including routine business office functions and patient care procedures. The surgical assistant is responsible for assisting the doctor in clinical procedures and in the delivery of required medical services. Business and clinical responsibilities are established relative to the respective employee’s expertise.

Responsibilities:

  • Set up surgical rooms for the appropriate upcoming procedures.
  • Maintain general appearance, cleanliness and organization of clinical and office areas.
  • Sterilize instruments and maintain clinical equipment.
  • Assist in post-operative patient care.
  • Assist in compliance with OSHA infection control and communication regulations.
  • Maintain safe conditions in patient treatment areas.
  • Cleans autoclave.
  • Performs spore testing.
  • Perform other duties as may be requested by and coordinated between the Lead Surgical Assistant and Doctor from time to time, and as the Surgical Assistant may be qualified.

The patient care coordinator operates the front office, serving as the first contact with patients. This position receives, schedules and initiates the data collection process for each patient of the practice. The patient care coordinator is responsible for assisting the doctor in clinical procedures and in the delivery of required medical services. Business and clinical responsibilities are established relative to the respective employee’s expertise. The responsibilities of the assistant receptionist shall include, but not be limited to:

  • Explain the practice’s financial policies to patients.
  • Assist the patient in identifying the procedures that are paid or not paid by third party sources, and related patient responsibilities for payment.
  • Obtain insurance claim information from patients and make necessary arrangements for the completion of insurance forms.
  • Complete insurance pre-authorizations.
  • Complete and file insurance claims and related reports.
  • Establish payment arrangements with patients prior to completion of practice’s services.
  • Respond to patient and insurance company inquiries regarding accounts.
  • Advise the Doctor in the payment performance of major payment sources.
  • Answers the telephone and directs telephone calls for the office.
  • Greets all patients when they enter the office.
  • Obtains patient information for accounts receivable purposes.
  • Schedules appointments for all patients and coordinates the patient flow throughout the day.
  • Maintains a daily log of patient visits and records appropriate information.
  • Receives money for patient visits and initiates patient billing procedures.
  • Retrieves and files patient charts.
  • Prepare patient charts for new patients.
  • Performs secretarial services for the staff as requested.
  • Observes absolute confidentiality in regard to patient records and information.
  • Maintain general appearance, cleanliness and organization of clinical areas.
  • Prepare patients for the practice’s services.
  • Conduct patient education activities.
  • Instruct patients regarding preparation for procedures.
  • Take patient histories.
  • Assist in compliance with OSHA infection control and communication regulations.
  • Maintain safe conditions in patient treatment areas.
  • Perform other duties as may be requested by the Doctor from time to time, and as the Patient Care Coordinator may be qualified.
  • Assist in compliance with HIPAA regulations
  • Answer phones, schedule patients, process payments, process consent forms

Position Qualifications: High school or vocational school graduate. Knowledge of sterilization techniques, and dental and medical terminology is required after on the job training. No prior dental or medical experience required. Knowledge of dental and medical terminology and coding required after on the job training. Knowledge of interpersonal relationships and an ability to deal with the public in situations of stress is required. Must have the ability to use computers and office machines. Adequate typing skills with appropriate knowledge of filing and general office procedures. CPR certified.
